The ideal candidate is flexible, systematic, and comfortable handling a high volume of information while building strong working relationships across departments and with external partners.Main ResponsibilitiesYou strengthen the efficiency and effectiveness of the Controller and the Control team by setting priorities as agreed, organizing the flow of information, taking over assigned tasks, monitoring progress and signaling possibilities for initiatives.You maintain discretion and respect for confidentiality of documents and information.You ensure clear arrangements/agreements with your line manager to work independently where possible.You build and maintain working relationships with all relevant people in and around the Management Team, Board, Council and the Operations Department.You are aware of the responsibilities and tasks of key people and the way the organization works, you know where to go for certain information and/or actions. You are mindful of the sensitivities in relation to people and information and act accordingly. You advise your line manager regarding decision making processes, and you support the execution of the agreed process.You maintain a general awareness of people’s concerns and well-being in your department and keep your line manager informed.Your work may be cross-departmental or intersectional.Key DeliverablesReports and results of assigned desk research, intended for decision making, including those related to the Control Cycle process, audits and Board CommitteesAgenda forand overview of decisions taken in meetings and overview of and follow up on the status of agreed actionsSupport and follow-up of the performance management cycle of staff reporting to the ControllerProduction of documents, such as (electronic) correspondence, SOPs or formal documents including their legalization and/or review/ approval by various stakeholdersProgression of and order in assigned processes such as invoice approval, declarations sign-offSupport to keeping a relevant network with internal MSF stakeholders as well as external relations, such as authorities, NGOs, etc.Clarity/ transparency/awareness of administrative processes by/towards staff, including during onboarding and offboarding of staff.Privacy and completeness of, and order in, (electronic) files (SharePoint) and assigned administrations/ databases, in accordance with standardsOrder in your line manager’s agendaCandidate ProfileBachelor’s degree in business administration, social sciences or similarFluency in English required. Dutch proficiency nice to have.Experience in EA positions or similarNGO experience is considered an assetKnowledge of MS Office applications, SharePoint and TeamsExcellent interpersonal skills, willingness and ability to communicate and collaborate with stakeholders at all levels of the organization. Able to cooperate with diplomacy, tact, and empathy in a networked environment with people of diverse backgrounds.Genuine interest in, and commitment to, the humanitarian principles of MSF. Willingness to be flexible and adaptable to meet the requirements of the team.Excellent computer literacy, in particular the Office 365 suite.We offerA Dutch employment contract based on 32 - 40 hours per week.
