Position Scope
The Project Administrator supports the Service Manager and Work Planner in the administrative, organizational, and secretarial aspects of projects. The position is crucial to the efficient running of projects by facilitating communication, document management, and following up on actions and deadlines. Your accuracy and drive enable the service engineers to do their work quickly and accurately. You will have a lot of contact with suppliers, but also with our contractors, Service Manager, and service engineers. This is an extremely versatile position in a young team and growing company.Key Responsibilities
Administrative Support Preparing quotations Preparing, sending, and following up on invoices to customers Managing project documentation (plans, reports, minutes, etc.) in a structured system (e.g., SharePoint). Inventory management Keeping our ERP system up to date Supporting the administrative processing of purchase orders, invoices, and expenses.Searching for new suppliers and comparing prices Taking care of the logistical organization around projects (travel arrangements, hotel reservations, etc.), often ad hoc/last minute Updating and maintaining the CRM file Administrative processing of incoming goods Keeping track of time registrationsDocumentation and archiving Setting up and maintaining a clear project administration and archiving system (digital and physical) Ensuring the consistency and completeness of project documentation Other tasks Supporting the Service Manager with a variety of tasks Contributing to the development and improvement of project management processes and templatesActing as a point of contact for administrative questions Performing ad hoc administrative tasks at the request of the Service Manager or the team. Required Skills and Qualifications
MBO+ level of working and thinking, preferably with a technical background, a major advantage if this is also in the food industry Good command of spoken and written English and Dutch. Good communication skills and ability to work under pressure Experience in a similar position, including preparing quotationsExperience in sales or accounting is an advantage Strong planning, organizational, and analytical skills Experience with ERP systems (e.g., Microsoft NAV, SAP, Navision) is an advantage What we offer
