Position Overview The Customer Service&Office Administrator plays a key role in supporting Foil Drive’s European customers, dealers, and internal operations. Based in the Hillegom office, this role ensures smooth day‑to‑day customer service delivery, order processing, and office administration. It is well suited to someone who is highly organised, customer‑focused, and eager to learn aboutFoil Drive products and systems.
Working as part of a small but growing European team, the role supports both front‑line customer enquiries and core administrative processes that keep the regional operation running efficiently.
Key Responsibilities
Customer Service&Support
Respond to customer enquiries via email, phone, and online support platforms with timely and accurate information.
Assist customers with basic technical troubleshooting and product‑related questions (training provided).
Process and coordinate warranty assessments, claims, and replacements in line with Foil Drive policies.
Provide clear, professional, and brand‑consistent communication across all customer interactions.
Support escalation of complex technical issues to the relevant global teams.
Order Processing&Administration
Process Shopify customer orders, dealer orders, and generate invoices accurately.
Coordinate fulfilment and shipping through Foil Drive’s European 3PL provider.
Monitor stock movements and ensure timely and accurate order processing.
Assist with internal logistics tasks, including inbound shipments and office inventory.
Support general office administration including scheduling, filing, receiving visitors, and maintaining office organisation.
Internal Coordination
Collaborate with the European operations team to ensure delivery, support, and service processes run smoothly.
Communicate order or logistics issues promptly and support resolution.
Assist the wider European team during peak times, events, or periods of high demand.
Skills&Experience
Strong written and verbal communication skills; fluent English required.
Additional European languages are advantageous.
Experience in customer service, office administration, or order processing (preferred).
Comfortable learning technical product information with training and support.
Highly organised, detail‑focused, and able to manage multiple tasks simultaneously.
Competent with computer systems; experience with Shopify, Gorgias, or CRM platforms an advantage.
