Contract Planning Officer, Noordwijk aan Zee

We are looking for a Contract Planning Officer (M2) to join our Akkodis Aerospace team, working onsite at the European Space Agency in the Netherlands. This is (initially) a temporary cover role for 7 months.

General tasks to be performed:

Managing the EMITS electronic tendering system to ensure smooth operation and accessibility. Ensuring all Invitation to Tender (ITT) documents comply with ESA’s internal rules and procedures. Collaborating closely with contract officers to plan ITTs and manage deadline extensions using departmental planning tools.Reviewing and processing internal contractual documentation in line with ESA Procurement Regulations. Providing guidance to technical and administrative staff on procurement policies and procedures. Maintaining accurate procurement data in ESA’s corporate IT system, esa-p. Coordinating the preparation of documentation for the Adjudication Committee (AC), ensuring completeness and compliance.Tracking decisions from the AC and Industrial Policy Committee (IPC), and managing timely resubmissions when needed. Supporting contract officers in submitting proposals to AC and IPC, especially when contract changes require committee approval. Working with Industrial Policy Services to manage supplier registrations, including bidder and vendor coding in SAP.

To successfully perform the above mentioned tasks, the following background / experience is required:

At least Bachelor level education or equivalent in a relevant field. Several years of hands-on experience in the field of contracts and procurement administration information systems gained in public administration or international organisations. Post holders must possess strong organisational skills, attention to detail and high degree of accuracy, and the ability to balance multiple priorities.They shall further be proficient in the use of office technologies and demonstrate behavioural flexibility and team spirit. Knowledge of SAP/SRM will be a distinct advantage.
