PROJECT CONTEXT On 21 May 2024, UNIDO Director General and Barbados Prime Minister signed a Joint Declaration on the establishment of the UNIDO‑Barbados Global SIDS Hub for Sustainable Development. The office is located at the UN House in Bridgetown and aims to strengthen UNIDO’s support for the implementation of the Antigua and Barbuda Agenda for SIDS (2024‑2034) within the Caribbean and small island developing states (SIDS) globally. The new UNIDO office will assist Caribbean countries and other SIDS in their aspirations to become diversified, digital, blue and green island economies. In this context,the hub will provide advice and technical services related to clean energy and circular economy, entrepreneurship and innovation, industry 4.0, quality infrastructure, smart agri‑business and blue economy.
Functional Responsibilities
Perform general administrative tasks such as ordering office supplies, following up on budget queries, making reservations, placing purchase requisitions, researching information and reference material, organising requests for formal editing, translation, layout, graphic design, printing services and publication of documents.
Use SAP, when required, to make arrangements for travel, prepare travel authorisations, ensuring that visas, security clearances, vaccination certificates, Laissez‑Passeur, etc. are valid. Assist in completing back‑to‑office mission reports and claim forms.
Respond to moderately complex information requests and inquiries, referring queries to appropriate personnel when necessary.
Assist in organising the logistics for meetings, prepare background documents and agendas, liaise with counterparts on attendance, prepare presentation materials, book meeting rooms and take meeting notes if required.
Keep track of pending matters, flag deadlines and bring urgent items to the supervisor’s attention.
Maintain an up‑to‑date filing system (both hard copy and electronic).
Perform any other related duties as assigned by the supervisor.

Minimum Organizational Requirements
Education : Completed higher secondary education (high school diploma or equivalent) is required. Formal administrative/secretarial/clerical training or equivalent is desirable.
Credit towards total working experience may be considered on a year‑by‑year basis, up to a maximum of four years, for a higher degree education (including a first university degree or equivalent diploma and/or master’s degree) in a relevant field to the post.
Technical&Functional Experience
Minimum of three (3) years of work experience in the fields related to the post.
Experience using Microsoft Office (Outlook, Word, Excel) and internet search engines.
Experience with office procedures and practices, preferably within the UN system or a multicultural environment.
Experience with organising meetings, workshops and conferences.
Experience within the UN system or other intergovernmental organisations.
Experience with SAP or similar ERP software.
Languages Fluency in written and spoken English is required. Fluency and/or working knowledge of Spanish is desirable.
