Working as campaign&event administrator with the world's most innovative software companies, you are supporting the Project Management Team with online invitation processes and campaign management in CRM and marketing platforms, to create customer experiences that exceed expectations.
As campaign&event administrator, you support our Project Management-teams with campaign management in CRM and marketing platforms, such as Salesforce.com, to manage processes related to invitations, confirmations, registration, show/no show for the events for our customers. You do this within scope, budget and time. You are responsible for correct administration of the campaign, as well as invitational and registrational tasks, in CRM and marketing platforms such as Salesforce.com. You love to work with CRM and marketing platforms, take great pride in maintaining data accuracy, are a great planner, show dedication and ownership, and are a star in avoiding unpleasant surprises for the project management team and our customers.
Background: For each event we organize, our clients create a digital campaign in their systems to tag who should be invited, and to manage the invitation process (usually Save the Date e-mail, invitation, reminder, last details, thank you for attending), as well as attendee management. For some of our clients we own this process on their behalf. For this role we are looking for a campaign administrator who takes pride in maintaining great data accuracy. It's an administrative role, but it also requires project management skills as it's you who builds the campaigns and the programs– and then maintain a correct administration.
Important to know before you apply: This role requires great flexibility. A lot of the work you do can be planned, but closer to an event there are often a lot of changes. People cancelling at the last minute for an event for example, meaning that they need to be removed from the registration lists and that other(s) who are on the waitlist can be invited to join after all. This means this is not a 9 to 5 job– there will be days you only have a couple of hours of work, and prior to the larger events (we estimate this at around 6x per year) there might be days with 10 hours of work. We want to be honest and set the right expectations.
Responsibilities: Plan and manage digital campaign administration for marketing events in CRM systems, including the setup of online registration pages and event workflows. Execute, monitor and optimize the invitation process, tagging attendees, sending invitations, tracking confirmations, and managing show/no-show lists.Send personalized email communications in bulk to event participants (Save the Date, invitations, reminders, event details, thank-you emails). Align closely with Jibe! Group senior project managers, customer event leads, sales/pre-sales teams, and field marketing to understand event requirements. You provide the input to clients on making events more effective.Ensure flawless execution of registration processes, tracking, and reporting. Establish effective workflows and deadlines for campaign management. Monitor and report on campaign performance using CRM tools. Develop and manage advanced dashboards and reports in Salesforce and/or BI tools. Track and manage last-minute attendee changes, ensuring registration lists remain accurate.Report and escalate to the Senior Project Manager when necessary. Take first responsibilities in budget and timeline monitoring.
Requirements and skills: We are looking for a data entry specialist who wants to grow in their role– to take on more responsibilities in the field of data entry and grow towards data (project) management. In this role, you'll be managing invitation processes for events in CRM-systems – which not only requires data entry skills, it also requires project management skills as well as communicative skills, as you'll be in regular contact with our project managers and event leads at our customer. Once you are longer in the role, you can expand the role whereby you can advise our project teams on the most ideal invitation and registration process for a specific event, take on responsibilitiesto manage on-site registration processes during events, and grow your skillset to, for example, building dashboards for reporting on campaigns and events.
Proven experience in data entry and data management. You have advanced knowledge of CRM and marketing tools (e.g., Salesforce advanced features). Exceptional attention to detail and commitment to data accuracy. Interest in marketing and events and understanding of customer engagement. Excellent communication skills (both written and verbal).Strong organizational skills and ability to manage multiple tasks simultaneously. Ability to take ownership of tasks and proactively manage deadlines. Dedication and problem-solving mindset; you never give up. Keep up-to-date with AI and technical trends and think about how you can implement it to reduce the team’s workload and automate some manual and redundant tasks.Flexible work approach: This is not a strict 9-to-5 role. Some days may require minimal work, while others (especially before major events) may require extended hours. We're happy to give you this flexibility, but ask from you the willingness to work overtime when it's needed.
